The Cents Business Manager reporting hub gives you insights into everything going on across your business — from team member check-ins and check-outs to orders processed per team member and more. This guide walks you through the different reports available, how to download them, and how to pull data for extended date ranges.
Understanding report preview vs. download
There are two ways to access report data in Cents Business Manager, and each has a different date range capability:
On-screen preview — When you select a date range and view the report in your browser, the preview displays up to 90 days of data. This is great for quick lookups and reviewing recent activity.
Email or CSV download — When you click "Send Export" or "Download CSV," the system generates the full report for your selected date range — up to one full year of data. The report is delivered as a CSV file that you can open in Excel, Google Sheets, or import into accounting software like QuickBooks.
In short: If you need data beyond the last 90 days — like a yearly customer statement — use the email or download option instead of relying on the on-screen preview. There is no need to pull reports in smaller chunks and combine them manually.
Getting started with reports
Start by opening your Cents Business Manager, and navigating to the "My Stores" section. Here, you'll find a sub-section called Reports with two sections: "Pre-Built Reports" and "Custom Exports."
Pre-Built Reports are single-purpose reports designed to summarize and consolidate commonly needed information.
Custom Exports are configurable exports of raw data in the Cents system. Exports are available for core data sets like orders, payments, customers, and more.
How to download a report
Follow these steps to download any report:
Navigate to My Stores > Reports in Cents Business Manager.
Select the report type — either a Pre-Built Report or a Custom Export.
For Custom Exports, choose the "Export Type" and configure any filters (location, date range, etc.).
Set your desired date range. Remember: you can select up to one full year for email/CSV downloads.
Click "Send Export" — the report will be emailed to you as a CSV file.
Pulling reports for extended date ranges (e.g., yearly statements)
Need to pull a yearly customer statement or a report covering several months? Here's what to keep in mind:
Don't rely on the on-screen preview for extended date ranges. The preview is capped at 90 days to keep things fast in the browser.
Use the email or CSV download instead. Select your full date range (up to one year), click "Send Export," and the complete dataset will be delivered as a CSV.
No need to break it into chunks. A single export covers the full date range you selected — no combining multiple files required.
For date ranges over one year, pull two separate exports (e.g., Jan–Dec 2025 and Jan–Apr 2026) and combine them in your spreadsheet application.
Pre-Built Reports
Pre-Built Reports are ready-to-go summaries for common business needs. Here's what each one provides:
Cash Drawer: Displays information on cash drawers started, including starting/ending amounts as well as expected vs. actual cash. Use this report to reconcile your daily cash and identify discrepancies at the end of a shift.
Cents Online Payment Breakdown: Displays information on Stripe payouts made to your business bank account, including associated order numbers for further reconciliation. Use this report to match deposits in your bank account to specific orders processed through Cents.
Deliveries: Displays information about deliveries, including window, customer, associated fees, and more. Use this report to review delivery performance, track associated fees, and monitor your pickup and delivery operations.
Labor: Displays the labor history of each order from intake through completion. Use this report to understand how long orders take to process and identify bottlenecks in your workflow.
Refunds: Displays information on refunds that have been initiated, including settlement status. Use this report to track all refunds and ensure they've been properly settled.
Sales Tax: Displays total taxable sales and tax amounts over a given reporting period. Use this report when filing sales tax returns or reconciling tax obligations with your accountant.
Subscriptions: Displays information about active subscriptions at given location(s). Use this report to monitor your recurring revenue from Cents Memberships and identify trends in subscriber activity.
Team - Time Card: Displays your team's check-in/check-out activity over a given time period. Use this report for payroll processing and to review team attendance and shift coverage.
Tasks: Displays information about tasks, including the associated shift, employee, and completion status. Use this report to make sure operational tasks are being completed on schedule.
Custom Exports
Custom Exports let you pull raw data from the Cents system with configurable filters. These are ideal for deeper analysis, bookkeeping, or generating custom reports in tools like Excel or QuickBooks.
Customers: Returns a list of customers for selected locations over a given reporting period. Use this export to build mailing lists, review customer activity, or segment your customer base. Filters: Location, Reporting Period, Reporting Date Type, Customer Type.
Inventory: Returns a snapshot of current inventory at selected locations. Use this export to review stock levels and plan reorders for supplies. Filters: Location, Stock Level.
Orders: Returns all orders for selected locations over a given time period. Use this export for revenue reconciliation, order auditing, or generating customer statements. Filters: Location, Reporting Period, Order Status, Order Type, Reporting Date Type, Payment Type, Payment Status.
Payments: Returns all payments collected for selected locations over a given time period. Use this export for financial reconciliation and bookkeeping. Filters: Location, Reporting Period, Payment Method.
Promotions: Returns information about promotions applied to orders over a given reporting period. Use this export to measure the effectiveness of your discounts and marketing campaigns. Filters: Location, Reporting Period, Discount Rule, Discount Status.
Tips and common questions
Can I email a report directly to my customer?
The export is emailed to the address associated with your Cents Business Manager account. Once you receive the CSV, you can forward it to your customer or import it into your accounting software.
Which export should I use for a customer's yearly statement?
The Orders custom export is the best option for generating a comprehensive customer statement. Set your date range to the full year, and filter by the customer if needed.
Why does my preview only show 90 days of data?
The on-screen preview is designed for quick lookups and is limited to 90 days for performance. To access data beyond that window, use the email or CSV download — it supports up to a full year in a single export.
