How to Transfer Inventory Between Locations

If you run multiple locations, you can now move stock directly from one store to another — right from the Inventory Adjustment screen. Transfers are recorded at both locations automatically and show up clearly in your Inventory Adjustment report.

Before You Start

  • Inventory Transfer is only available for businesses with more than one location.

  • Both locations must have the item added to their inventory in Business Manager.

  • If you want attendants to be able to use this in the Employee App, make sure they have the Manage Inventory permission enabled (see below).


How to Transfer Inventory

  1. Log in to Business Manager

  2. Go to Products → Pricing & Inventory

  3. Select the item you want to transfer

  4. Click Adjust Inventory next to the Quantity field

  5. In the Reason dropdown, select Transfer

  6. Choose a direction:

    • From another location — to pull stock into this location from another store

    • To other location(s) — to push stock out from this location to one or more other stores


Pulling Stock In (From Another Location)

Use this when you're at the store that will receive the stock.

  1. Select From another location

  2. In the Transfer from dropdown, select the store you're pulling from

    Only locations that currently have this item in stock will appear in the list.

  3. Enter the quantity to transfer

  4. Add a memo (optional)

  5. Click Transfer Stock

You'll see a live calculation showing the stock change at both the source and the receiving location before you confirm.


Pushing Stock Out (To Other Location(s))

Use this when you're at the store that will send the stock — including when you want to split one batch across multiple stores at once.

  1. Select To other location(s)

  2. In the first destination row, select the store and enter the quantity

  3. To send stock to additional stores in the same action, click Add another location and fill in each row

  4. Add a memo (optional)

  5. Click Transfer Stock

Each destination shows a live stock calculation so you can see the result before confirming.


What Happens After You Transfer

  • Stock is updated at both the source and receiving location immediately

  • The transfer appears in your Inventory Adjustment report (Business Manager → Custom Reports → Inventory Adjustments) with the reason labeled as "Transfer from [Location]" or "Transfer to [Location]" — so it's easy to distinguish from actual losses or new stock receipts

  • Both sides of the movement appear in the report: the decrement at the source and the increment at the destination


Out-of-Stock Transfers

What happens if the source location doesn't have enough stock:

Allow out-of-stock: On

Transfer goes through with a warning

Allow out-of-stock: Off

Transfer is blocked — reduce the quantity and try again


Using Transfer in the Employee App

If your attendants manage inventory from the Employee App, they can use the Transfer reason too — as long as they have the Manage Inventory permission.

To check or enable this permission:

  1. Go to Business Manager → Rules & Permissions

  2. Find the employee and enable Manage Inventory

Once enabled, the Transfer reason will appear in their inventory adjustment options in the Employee App.


Troubleshooting

I don't see "Transfer" in the Reason dropdown. Transfer is only available for multi-location businesses. If you only have one location, this option won't appear. If you have multiple locations and still don't see it, contact support.

The location I want to transfer from isn't in the dropdown. The pull-in dropdown only shows locations that currently have stock of this item. If a location doesn't appear, it has zero of that item in its inventory or the item hasn't been added to that location yet.

The transfer is blocked with an error. Your business has the "Allow out-of-stock" setting turned off. Reduce the transfer quantity to match what's available at the source, or contact your Cents account manager to review your out-of-stock settings.

The transfer went through, but I don't see it in the report. Check the Inventory Adjustments report in Custom Reports. Filter by date and look for rows with "Transfer from" or "Transfer to" in the Reason column. Both sides of the movement (the decrement and the increment) appear as separate rows.


Frequently Asked Questions

Can I undo a transfer? No — transfers cannot be reversed automatically. If you transferred the wrong quantity, log a correcting adjustment at each affected location.

Does transfer work with the Units/Case toggle? Yes — the toggle works the same as in any other adjustment reason. Switch between units and cases before entering your quantity.

Can I transfer to more than one location at once? Yes — using the "To other location(s)" direction, click "Add another location" to add as many destination rows as you need.

Will my inventory report show who made the transfer? Yes — the Inventory Adjustment report logs the user who made the adjustment along with the reason, quantity, and timestamp.
