How to Use Reports Builder AI in the Business Manager

Ask for the data you want in plain English and get a live report back in seconds with Reports Builder AI, right inside the Business Manager.

Reports Builder AI lets you ask for the data you want in plain English and get a live report back in seconds, right inside the Business Manager. Type a question, get a data table, then refine it, save it, schedule it to your inbox, or export it. No spreadsheets or SQL required.


Before you start

  • Reports Builder AI is a new feature that is rolling out gradually. It needs to be turned on for your account, so if you don't see it yet, contact our team to request access.

  • You'll find it in the Business Manager under Reports > Reports Builder.


How to build a report

  1. In the Business Manager, go to Reports > Reports Builder.

  2. Type what you want to see in plain English. For example: "Show me all customers who placed a pickup and delivery order in the last 7 days, with order details and total order value."

  3. Wait about 10 to 30 seconds while your report generates and displays as a data table.

  4. Use the AI Editor (the Refine input) to fine-tune it. Send follow-up messages to narrow to one location, add or remove columns, or change filters, without starting over.

  5. Take action: Save the report to keep it in your saved reports, Schedule it for recurring email delivery, or Email it once.

You can find reports you've already generated under Recently Generated in the Reports section.


Dynamic vs. static reports

The words you use for dates control whether your report stays current:

  • Dynamic reports use relative time language like "last 7 days" or "last month." They refresh to the latest window every time they run.

  • Static reports use specific dates like "July 1 to July 31." They always return that same window.

For scheduled reports that should always reflect the latest data, use relative time language.


What you can ask about

Reports Builder AI can pull data from across Cents, including:

  • Orders (service and inventory), order items, payments, refunds, tips, promotions, loyalty, and recurring orders

  • Customers, customer types, memberships, payment methods, credits, invoices, tags, and addresses

  • Locations, machines, pricing, pickup and delivery settings, hours, closures, and delivery windows and zones

  • Services, categories, team members, time cards, tasks, and permissions

LaundroWorks data (customers, locations, POS, VAC, machines, promo campaigns, and attendants) is coming soon.


Scheduling a report

After you generate a report, tap Save to open the same save-and-schedule screen used by other Cents reports. From there you can set up recurring delivery by email on a daily, weekly, biweekly, or monthly cadence. Use relative time language in your query so each delivery reflects the most current data.


Good to know

  • You can generate up to 100 reports per business per day. If you hit the limit, you can generate more after it resets at midnight.

  • Phase 1 returns tabular data only. Charts and graphs are planned for a future release.

  • You can't edit values directly in a report yet. Export the data if you need to change it.

  • Each report runs against one data source at a time, so Cents and LaundroWorks data can't be combined in a single report yet.

  • Some data isn't available through the builder yet, including Cents Assist (call center) data and billing data.


Troubleshooting

  • Your report failed to generate? You'll see an error message and return to the prompt with your question pre-loaded. Re-submit it or rephrase and try again.

  • A very large report timed out? Try narrowing the time range or the amount of data you're asking for, then run it again.

  • Results don't look right? Use the AI Editor to refine your request, or rephrase the question to be more specific.


FAQ

How long does it take to generate a report? Usually 10 to 30 seconds, depending on how complex your question is.

Can I refine a report after it generates? Yes. Use the AI Editor to send follow-up messages. You can narrow to a location, add or remove columns, or change filters without starting over.

Can I edit the numbers in a report? Not yet. Export the data to edit values.

Can I see charts or graphs? Not yet. Phase 1 returns tables only. Charts are planned for a future release.

Can I combine Cents and LaundroWorks data in one report? Not yet. Each report runs against one data source at a time.

Is my business data shared with the AI? No. Only a description of your data's structure is sent to the AI to build the query. Your actual customer and order data is retrieved separately and is never shared with the AI model.
