In August 2026, Laundroworks billing management moved to a new Billing section:

The new Billing section in the LaundroPortal menu

If you haven't done so already, you'll be prompted to select and assign a payment method to the main account, as well as each individual location under your Support ID. This is required to keep your subscription active. This one-time step takes about a minute to complete, and no new charges are associated with it.

The Billing page is where you'll manage everything tied to your Laundroworks subscription. From here you can assign or update the payment method for your account and each location, check for any payment issues, and view or pay your invoices.

When to use:

  • You need to assign a payment method to your account or a location.

  • Your card expired, your bank account changed, or a payment did not go through.

  • You want to view, download, or pay an invoice.

Before you start:

  • You need an Admin access account for the LaundroPortal.

  • Have your credit card or bank account details ready if you plan to add a new payment method.

How to assign or update a payment method

To start, log in to the LaundroPortal and click on the Billing section:

Clicking the new Billing section in the LaundroPortal menu

The Billing section will display your Account Level payment method, as well as list all the individual locations under your account, which also need their own payment method assigned:

You will be assigning a payment method to the main account, as well as each individual location separately. However, completing this action does not double-charge your account. Your monthly billing amount will remain exactly the same as it is today.

Adding a new payment method

If you do not yet have any payment methods added, you will see an Assign Payment Methods button in the top-right corner:

Clicking this button will allow you to add a new payment method that can be used as the main account-level payment method, the individual location payment method, or both:

Editing an existing payment method

If you already have a payment method added, you will instead see the Edit Payment Methods button.

To make changes to an existing payment method, or to add another new payment method, click on the Edit Payment Methods button:

This will bring up a window where you'll see the payment methods currently selected for the main account, as well as the individual locations.

Clicking on the drop-down arrow will allow you to update the payment method being used for each:

Be sure to click the Save button after making any payment method changes.

Once you have assigned a payment method to the main account, as well as each individual location, the Assign a payment method banner will clear and the Subscriptions & Payment Methods section will display the assigned payment methods for the main account and each individual location:

How to tell if a payment method needs attention

If there is a problem with a payment method, you will see a red or yellow (!) next to it, and that row will be outlined in red or yellow:

The Billing page showing an overdue balance and a location row outlined in red with an Update Payment Method link

This means the payment on that subscription did not go through, and you should update the payment method for that row.

If the same payment method is used on a row that has no invoice due, like an account-level subscription with a $0 balance, you do not need to take action on that row. Focus on the rows that have an open invoice.

If you have any rows that do not yet have a payment method assigned, assign one to them. However, rows displaying a (!) icon require immediate attention.

Payments are processed every evening, so after you update a payment method, your balance and status will not change right away. The red and yellow indicators will clear once the payment is processed that evening. Check back the following morning to confirm everything went through. If the error is still showing after that, repeat the steps above to apply a different payment method.

How to view and pay invoices

Scroll down to the bottom of the Billing page to see your invoices. They are split into two sections:

  • Invoices: All invoices from August 1, 2026 onward, including the date, invoice total, balance due, and status. Their invoice numbers typically start with "INV".

  • Past Invoices: Your older invoices. Their invoice numbers are typically just digits.

To view or download an invoice:

  1. Click the invoice number, or click the download icon Download in the PDF column.

To pay an invoice right away:

Open invoices are paid automatically during the evening payment run. If you do not want to wait, you can pay an invoice manually.

  1. Click the invoice you want to pay.

  2. Click Pay Now at the top of the invoice and follow the prompts.

Troubleshooting payment issues

I updated my payment method but still see an overdue balance:

Payments are processed in the evening, so your balance will not update right away. Check again the following morning. If you need it cleared sooner, open the invoice and click Pay Now.

My bank account is already on file but payments keep failing:

Some bank accounts that were moved over from our previous billing system may need to be added again. Click + New payment method, re-add the same bank account, remove the existing one, and click Save. Then check back the next morning.

The account row shows (!) but has no balance:

If there is no invoice due on that row, there is nothing to pay. Focus on updating any row that has an open invoice.

My card keeps getting declined:

Make sure the card is not expired and the billing details match what your bank has on file, or add a different payment method.

Frequently asked questions

Will I be charged anything when I add or verify my payment method?

No. Adding or verifying your payment method does not trigger any new charge. It is a one-time update as part of the transition to the new billing system.

Why did I receive a prorated invoice in July?

To move all accounts to 1st-of-month billing, you received one prorated invoice in July covering the days between your previous billing date and August 1. It covered only those remaining days: no surprises and no double charges. Since August 1, all invoices have followed the standard 1st-of-month schedule.

Do I need to complete this on every device?

No. You only need to complete this once, right from your LaundroPortal's Billing section.

Do I need to assign a form of payment to each location?

Yes. A form of payment needs to be assigned to the main account, as well as to each individual location. You'll be prompted to select and assign a payment method to each.

When are payments collected?

Payments are processed every evening. Any status changes will show on your Billing page the following morning.

When are invoices issued?

Software invoices are issued on the 1st of each month.
