Add your employees to Cents Business Manager so they can use the Cents Employee App, choose which stores they work at, and update their details any time from the Team page. This guide also covers how the business owner can change the email on their own account.
Use this if you're adding a new employee, assigning someone to a store, updating a team member's name, email, phone, or employee code, or you're the owner and need to change your login email.
Before you start
You need Admin access to Cents Business Manager.
Have the team member's name, email, and the employee code they'll use ready.
Employee codes must be unique. Team members use them to check in and to take actions in the Cents Employee App.
How to add a team member
Log in to Cents Business Manager, click Admin in the top navigation, then click Team in the left-hand menu.
Click the + icon in the top-right corner of the Team list. A setup panel opens on the right.
Enter the team member's first name and last initial and click Next.
Enter their email address and click Next.
Create a unique employee code. Pick something easy for them to remember, but don't use sensitive numbers like a Social Security number.
Assign them to the location or locations where they work, choose their role and permissions (see below), and click Save.
If they need Driver App access, enter their mobile phone number. They'll use it to log in to the Cents Driver App. See How to Assign Driver App Access to a Team Member.
How to assign a team member to locations
Go to Admin > Team and click the team member's name.
Open the Roles & Permissions tab.
Under Assign to Location(s), open the Location(s) dropdown and select every store they work at.
Changes save as you make them.
Managers and Admins only see data for the locations they're assigned to in My Stores.
Roles and permissions
Every team member can use the Cents Employee App. Turn on extra access only if they need it:
Manager: access to My Stores in Business Manager (orders, customers, machines, the Dashboard, and reports) for their assigned locations. They get an email to set a password.
Grant Admin access: everything a Manager can do, plus account settings in the Admin section. Admins can't change the connected bank account. Only the business owner can.
Driver App access: lets them complete pickup and delivery routes in the Cents Driver App.
POS Permissions: choose whether they can manage inventory, void orders, refund orders, view reports, edit line item prices on orders, manage payment methods, and reactivate completed orders.
For more detail, see How to Assign Manager and Admin Roles to a Team Member.
How to edit a team member's information
Go to Admin > Team and click the team member's name.
On the Details tab, click the field you want to change: name, email, phone number, employee code, language, title, birthday, or notes. Changes save as you update them.
To change their locations, role, or permissions, open the Roles & Permissions tab.
To review their clock-ins and hours, open the Time Card tab.
Use the search icon at the top of the list to find someone quickly. To remove someone who no longer works for you, see How to Archive and View Archived Team Members.
For business owners: how to change your login email
The business owner's email is the main email on your Cents account. For your security, it can't be edited in Business Manager, so the email field is greyed out on your Team profile. This keeps anyone else with Admin access from taking over the account, since the owner is the only person who can change the connected bank account.
To change it:
Text our Cents Support team at 888-302-8809 and ask to update the business owner email.
Share your business name, your current login email, and the new email you want to use. We may ask you to verify that you're the owner.
Once we confirm the change, log in with your new email. If your password doesn't work, use Forgot Password on the login page to set a new one.
Selling your business or changing owners? Contact our Support team instead of just changing the email. The new owner will need their own login and will need to connect their own bank account to receive payouts. See How to Update or Add Bank Accounts.
Important things to know
Each business has one owner account. Admins have the same access as the owner, except for changing the bank account.
Managers only see the locations they're assigned to.
Employee codes must be unique within your business. To require a code before key actions, see How to Require an Employee Code for Actions.

Troubleshooting
The email field is greyed out.
That team member is the business owner. Owner emails can only be changed by our Support team. See the business owner section above.A new Manager or Admin didn't get the set-password email.
Check that their email is spelled correctly on the Details tab and ask them to check spam. They can also use Forgot Password on the login page. The email won't save.
It may already be in use by another Cents account. Try a different email, or text our Support team so we can check. The employee code won't save.
Codes must be unique. Choose a code no one else on your team is using.A team member can't see a store.
Open their Roles & Permissions tab and make sure that location is selected under Assign to Location(s).
