How to Adjust Line Item Pricing on the Cents Employee App

Change the price of a single line item on an order in the Cents Employee App. It's a one-time override for that order and doesn't affect your library pricing.

Need to change the price of a single item on an order? You can adjust the price of any line item right in the order builder on the Cents Employee App. The change is a one-time override for that order only, it doesn't change the price in your product or service library.


Before you start

  • Editing a line item price requires the "Edit line item price on POS" permission, which is set in the Business Manager. If a signed-in employee doesn't have it, the app asks for an employee code so a manager or another authorized employee can approve the change.

  • You can adjust pricing while building a new order or while adjusting an existing one. To reopen an order that's already been placed, see How to Adjust an Active Order.


Adjust a line item price

  1. Open the order in the order builder. For a new order, add the item as usual. For an existing order, tap Active Orders, open the order, tap the three-dot menu, and select Adjust Order.

  2. Tap the line item you want to change to open its item screen.

  3. Tap Edit item price (the $ icon).

  4. Enter the new price. If you don't have the pricing permission, enter an employee code when prompted first.

  5. Tap Save.

  6. Tap Add to order.

The new price now appears in the Order Summary under that line item. From here you can keep building the order or take payment as usual. While you're on the item screen, you can also edit the item name, add line item notes or tags, and update add-ons.


Important things to know

  • Line item price changes apply to that order only. They don't change the price of the product or service in your library.

  • If you change a line item on an order that's already been paid, updating the total can create a balance due (new total higher) or a credit on the customer's account (new total lower).

  • Every line item edit is tracked. Audit them with the Line Items Adjustments export in the Business Manager, which shows the adjustment type (name or price) and the employee who made the change.


Troubleshooting

  • Don't see Edit item price, or getting asked for a code? That employee doesn't have the "Edit line item price on POS" permission. Have a manager enter their employee code, or update the permission in the Business Manager.

  • Price didn't change in your library? That's expected. Line item edits only apply to the current order.

  • Order already completed or picked up? You can't adjust it, issue a refund instead.


Frequently asked questions

Does changing a line item price change my library pricing?
No. The change applies only to that order. Your product and service library stays the same.

Who can edit line item prices?
Any employee with the "Edit line item price on POS" permission. Employees without it can still make the change when a manager enters their employee code.

Can I edit a price after the order is paid?
Yes, while the order is still active. The difference shows up as a balance due or a customer credit. Once the order is completed or picked up, use a refund instead.

How do I see who changed a price?
Run the Line Items Adjustments export in the Business Manager. It lists each change, the type (name or price), and the responsible employee.
