Order Due Dates

Due dates in Cents serve as both the customer-facing “promise date” and the employee-facing “processing due date” although they are primarily used internally to organize in-store operations. Cents automatically calculates these due dates and allows full editability for maximum operational flexibility.

How are due dates calculated?

For convenience, Cents will automatically calculate the due date for new orders based on the turnaround time of the services in the order as well as any return delivery dates. These dates will be automatically calculated upon online order submission, during and after order intake, when the pickup or return delivery changes, and when new services are added to an order that would change the value of the longest turnaround time for selected categories.

Online order with prescheduled return delivery

If an online order has a return delivery scheduled, the due date will be calculated based on the start of the delivery date/time window minus one hour, regardless of the service categories in the order. The exact calculation is

  • [Start of Delivery Date/Time Window] - [1 hour]

For example, if a customer submits an online order and schedules a return delivery of 3pm-5pm pickup on Thursday, then the due date will be set to 2pm Thursday

If the pre-scheduled return delivery date changes, the due date will automatically be updated to 1 hour prior to the start of the new return delivery window. For example, if a customer reschedules their return delivery from 3-5pm Thursday to a new window of 3-5pm Friday, the due date will change to 2pm on Friday.

Online order with no return delivery (aka “text me when ready”)

If there is no scheduled return delivery, then the due date is calculated based on the longest turnaround time for selected categories plus the start of the scheduled pickup date/time window.

For example, if the customer submits an online order for a service category with a 24hr turnaround time and a pickup window of Tuesday 2pm - 4pm, then the due date will be set to Wednesday 2pm. This is the start of the scheduled pickup window (Tuesday 2pm) plus the longest turnaround time for the service categories in the order (24hrs).

If the customer submits an online order for two service categories, one with 24hr turnaround and one with 72hr turnaround, then the due date in the above example would be set to Friday 2pm. This is the start of the scheduled pickup window (Tuesday 2pm) plus the longest turnaround time for the service categories in the order (72hrs).

Walk-in service order

A walk-in order service order will be calculated based on the intake date and longest turnaround time for selected categories.

  • [Longest Turnaround Time for selected Categories] + [Intake Date]

For example, if you intake an in-store dropoff order on Wednesday at 3pm with service categories that have a 48 hour turnaround time and a 12 hour turnaround time, the due date will be Friday at 3pm. This is the intake date (Wednesday 3pm) plus the longest turnaround time (48hrs).

If the customer drops off this order in store, but later schedules a return delivery, the due date would automatically change to one hour before the return delivery window. For example, with the above order if the customer decides to schedule a return delivery for Monday from 10am - 2pm, the due date would change from Friday 3pm to Monday 9am, which is 1 hour before the scheduled return delivery window.

What happens when a due date is edited?

Due dates can be edited at the POS at any time during the order. Dates can be adjusted from the order builder during intake, during order adjustment, or in the order details section. A due date can be edited down to the exact minute if needed.

If an employee edits the due date at the POS, then the due date will no longer automatically be recalculated (i.e. if return delivery changes). Once the date is edited, it can only be changed again with another edit.
