Understanding Order Due Dates in the Employee App

Understand how Cents calculates order due dates as both the customer promise date and the internal processing date.

Every order in Cents has a due date. It's the date you promise the customer and the date your team uses to plan processing. Cents calculates it for you, and you can change it any time.

Use this if you want to know why an order shows a certain due date, or when it's better to set one yourself.


How due dates are calculated

Cents sets the due date automatically when an order is submitted online, during and after intake, when a pickup or return delivery changes, and when added services change the longest turnaround time on the order. Turnaround times are set for your services in Cents Business Manager.

Online order with a scheduled return delivery

  • Due date = start of the return delivery window minus 1 hour, no matter which services are on the order.

  • Example: return delivery Thursday 3 to 5 PM means a due date of Thursday 2 PM. If the customer moves delivery to Friday 3 to 5 PM, the due date moves to Friday 2 PM.

Online order with no return delivery ("text me when ready")

  • Due date = start of the pickup window plus the longest turnaround time on the order.

  • Example: pickup Tuesday 2 to 4 PM with a 24-hour service means Wednesday 2 PM. Add a 72-hour service and it becomes Friday 2 PM.

Walk-in service order

  • Due date = intake time plus the longest turnaround time on the order.

  • Example: intake Wednesday 3 PM with a 48-hour and a 12-hour service means Friday 3 PM.

  • If the customer later schedules a return delivery (say Monday 10 AM to 2 PM), the due date moves to 1 hour before the window: Monday 9 AM.


Change a due date

  • Tap the Due Date during intake, when adjusting the order, or in the order details. Pick the day on the calendar.

  • Set the exact time, down to the minute, and save.

Important: Once someone edits a due date, Cents stops recalculating it automatically, even if the return delivery changes. It only changes again when someone edits it. Due dates set with Intake later count as edited too.

  • Ready for customer screen in the Employee App

  • Confirm Packaging & Notify Customer screen

  • Active orders drawer

  • Customer information on an order

  • Processing order screen


Troubleshooting

  • The due date didn't update after the customer rescheduled delivery?
    Someone edited the due date manually, so automatic updates are off for that order. Edit the due date to match the new delivery window.

  • The due date is earlier than you expected?
    If the order has a return delivery, the due date is 1 hour before the delivery window starts, not based on turnaround time.

  • The due date seems too far out (or too soon)?
    It uses the longest turnaround time of any service on the order. Check the turnaround times for your services in Cents Business Manager.
