Employee App Full Walkthrough

A full illustrated walkthrough of the Cents Employee App for your team — clocking in, product sales, walk-in, delivery, and commercial orders, and closing out. Expand the section you need.

Written by Euri

This is the full illustrated walkthrough of the Cents Employee App — every screen your team will encounter, from clocking in at the start of a shift to closing out at the end of the day. It covers product sales and all three order types we handle in-store: walk-in, delivery, and commercial.

Use this if you are training a new team member, refreshing an experienced one, or walking through the app yourself to see what each screen is for. Expand only the section that matches where you are in your shift.

For a one-page printable version to post at the counter, see Employee App Training Guide (Printable).

Point of Sale Startup Procedures

Clocking in. Clock in with your unique employee code to start your shift. For a dedicated article on this, see How to Clock In and Clock Out of Your Shift, and for sessions see How to Start and End a Session.

Starting the cash drawer. Before any transactions, activate the drawer by tapping "Not Active." If a cash drawer is connected to the Sunmi, it opens automatically so you can count. For more, see How to Start or End a Cash Drawer.

Counting the cash drawer. Enter the count for every denomination, then tap "Start Drawer." Every transaction will be deducted from the starting amount.

Completing shift tasks. Check the right panel of the home screen for any shift tasks assigned to this shift. Tap a task to view details and mark it complete.

Processing a Product Sale

Initiating a product sale. From the home screen, tap "New Product Sale" for over-the-counter items only. Use "New Service Order" for anything that includes laundry or dry cleaning.

Adding items to the cart. Tap the plus sign next to an inventory item, adjust the quantity, then tap "Done" to add it to the cart. Repeat for every item.

Advanced features in the order builder. Use the search or scan icon to find items quickly. Apply promos or credits from the bottom right. Tap the upward arrow to view tax and adjust service fees. When ready, tap "Pay Now."

Taking card payments. After "Pay Now," choose Credit/Debit Card for the card reader, or Manual Card Entry when needed. If a customer is selected, you can apply credits or reward points too.

Taking cash payments. Enter the amount received and the app calculates the change due. Complete payment to print the receipt and move the order into Completed Orders.

The hamburger menu. Tap the three-lined icon in the top left of the home screen for Order History (reprint receipts, process refunds), Customers, Machines, Cash Drawer, Inventory, and Reports.

Processing a Walk In Order

Creating a service order. If the order includes laundry or dry cleaning, tap "New Service Order." Service orders stay in the Active Orders drawer at the bottom of the screen until they are fully closed out.

Building in a customer. Unlike product sales, every service order must be linked to a customer. Search for an existing customer or add a new one with phone number, first name, and last initial at minimum.

Adding Wash & Fold. Tap the plus sign next to any Wash & Fold service to open the weight field. Enter weight manually or tap the blue scale icon if a scale is connected. Select any add-ons, then tap "Done." The bag count goes up by one each time.

Adding fixed price items and products. In other laundry categories and in Products, tap the plus sign, enter the number of units, and tap "Done." Repeat as needed.

Adding dry cleaning items. From the Dry Cleaning category, drill into a subcategory, tap the plus sign next to the item, set the quantity, and tap "Done." The turnaround time updates automatically to match the dry cleaning category.

Editing order details. After items are added, tap any blue-lined button in the order to open the Order Details hub (bags, preferences, storage, due date). Make changes and tap "Save."

Updating bag and hanger bundle count. In the order details panel, manually adjust the bag and hanger bundle count for items that need printed tags. Toggle "Notes per Bag" or "Notes per Bundle" to add details to each one.

Adding order notes and customer preferences. Use "Order Notes" for one-time instructions on this order. Use "Customer Notes & Preferences" to save them to the customer's account for future orders.

Adding a rack number. Use the storage location field to track where the order lives. Rack names can combine numbers and letters, and an order can live on multiple racks. Tap the rack icon at any stage to update the location.

Editing the due date. The due date defaults to the category's turnaround time. Tap the date field to pick a different day, and the time field to pick a time. Tap "Save."

Handling checkout. Choose "Charge Now" to collect payment immediately (same flow as a product sale) or "Charge Later" to print receipts and bag tags now and collect at pickup.

Navigating the Active Orders drawer. All in-store laundry and dry cleaning orders live in the Active Orders drawer at the bottom of the screen. Tap to open it, sort or filter, or search by name or order number.

Processing an order. If offline or networked machines are enabled with advanced processing, washer and dryer icons appear on the processing screen so you can assign machines to the order.

Adding machines to an order. For offline machines, select the machine number and enter the base cost before adding to the order. For online machines (through Cents Connect), you can enable them straight from the app, then load the clothes and press start on the machine.

The three-dot menu. Open additional actions from the three-dot menu in the top right of the order: full or partial refund, re-print tags or receipts, charge now, adjust order, or cancel order.

Completing processing on an order. When the order is ready, tap "Complete Processing" in the bottom right. Confirm the bags, hanger bundles, racks, and printing options, then choose "Notify Now," "Notify at Due Date," or "Don't Notify" for the customer text.

Ready for customer pickup. If the customer was already paid, tap "Complete" when they arrive. For unpaid orders, tap "Pay & Complete," run the payment, then mark the order picked up to clear it from Active Orders.

Processing a Delivery Order

Receiving delivery orders. Walk-in orders are created from the home screen. Delivery orders come in through the business's online ordering link (LiveLink) and appear in the Active Orders drawer with a "DS" code and a Delivery tag.

The deliveries manifest. Open the manifest to see the full day's schedule. Toggle between standard and on-demand pickups, pick the date and window, and see each stop's status. If the driver forgot to mark an order dropped off, use the three-dot menu to move it to "Picked Up / Ready for Intake."

Reviewing intake details. Once the order is marked "Ready for Intake" (by the driver or from the manifest), tap it to review the customer's preferences and the services they selected before starting intake.

Performing intake. Tap "Start Intake" to open the order builder. The service the customer picked online is highlighted in orange. Add weighed bags, fixed-price items, and products the same way as a walk-in. Adjust the bag count and rack number, then tap "Complete Intake."

Processing a delivery order. Processing works just like a walk-in order (add machines, edit details). The key difference: "Complete Processing" charges the customer's card before the order can be sent back out. If the card fails, the order drops out of the delivery schedule until a new card is on file.

Ready for driver pickup. After processing is complete and the customer has been notified, the order is labeled "Ready for Driver Pickup." Attendants have no further tasks beyond handing it to the driver at the scheduled time.

Completing a delivery order. The order stays in the Active Orders drawer as "Ready for Driver Pickup" until the driver completes the delivery. If the driver's app didn't update, you can mark it Delivered from the deliveries manifest to clear it. See How to Mark a Delivery Order as Delivered.

Processing a Commercial Order

Building an order for a commercial customer. Commercial orders work like retail: use the Employee App for walk-ins and LiveLink for delivery. Before you build the order, confirm the customer is marked Commercial so the correct pricing and invoicing settings apply.

Performing intake for a commercial customer. Intake looks the same as regular intake, but products and services show tiered pricing where it is set up. If invoicing is enabled for this customer, you skip the payment flow and the order is marked for invoicing in Business Manager.

Processing and completing a commercial order. Process the order as normal, then reach the "Ready for Customer" screen. If text notifications are off for this customer, nothing is sent. For invoiced customers, tap Complete and mark the order picked up. For non-invoiced customers, follow the payment flow first.

Point of Sale Closing Out Procedures

Closing the cash drawer. After the shift's orders are closed and tasks are checked off, tap "Active Cash Drawer" to review and close. Count denominations the same way you opened the drawer. Once saved, the drawer is marked Inactive.

Clocking out. With the drawer inactive, tap "My Shift" and then "Clock Out." Enter your employee code to end your shift. The shift summary appears with your stats — print it if you'd like.

Troubleshooting

  • I can't see Clock in / Clock out on the home screen.
Your store likely has sessioning turned on. Clock in / out lives on the lock screen instead. See How to Clock In and Clock Out.

  • My employee code isn't accepted.
Confirm the code with your manager. Codes are set per location in the Business Manager, so if you've been added at another store, your code there may not work here.

  • The cash drawer button says "Not Active" and tapping it won't start one.
Confirm the drawer isn't already open on another tablet. If it is, close it there first; otherwise contact your manager.

  • Machines icons aren't showing on an order.
Offline or networked machines with advanced processing need to be set up in Business Manager first. If you don't see them here, your store doesn't have that feature turned on.

  • A customer's preferences aren't printing on the bag tag.
Confirm the preference is saved on the Customer Notes & Preferences block in the order details, not just the Order Notes. Order Notes only print for this one order.

  • A delivery order didn't appear in Ready for Intake.
Check the deliveries manifest. If the driver didn't mark it picked up, use the three-dot menu in the manifest to move it to "Picked Up / Ready for Intake" manually.

  • Processing complete but the customer's card didn't charge on a delivery order.
If the card failed at Complete Processing, the order drops out of the delivery schedule until a new card is added. Have the customer update their payment method, then re-process.
