How to Edit an Item's Name or Price on an Order in the Employee App

More options in the order builder lets you change a single line item on any order, whether it's a service order or a product sale. You can edit the item's name, price, notes and tags, and add-ons. The change only applies to that order. Your service and product library stays the same.

Use this if you want to give one customer a custom price, rename an item so the receipt is clearer, or add notes to a specific item.

Before you start

  • To change a price, you need the Edit line item price on POS permission, set in Cents Business Manager. Without it, a manager or another employee with the permission can enter their employee code to approve the change.

  • You can edit items while building a new order or while adjusting an existing one.

Open the order builder

  • New service order: tap New Service Order on the Home screen, choose the customer, and add the service.

  • New product sale: tap New Product Sale, choose a customer or tap Continue as Guest, and add the product.

  • Existing order: tap Active Orders, open the order, tap the 3-dot menu, and select Adjust Order.

Edit the item

  • Tap the line item, then tap More options.

  • The edit screen opens. From here you can change the item name, price, line item notes, and add-ons.

  • Edit the name: tap the Edit item name icon in the upper left, type the new name, and tap Save.

  • Edit the price: tap the Edit item price icon (the $ icon), enter the new price, and tap Save. If you don't have permission, the app asks for the employee code of someone who does.

  • Add notes or tags: use the Line item notes section. Tags come from the ones created in Settings in Cents Business Manager.

  • When you're done, tap Add to order. The changes show in the Order Summary under that line item, and you can keep building the order or take payment as usual.

Important things to know

  • Edits apply to that order only. They don't change the item in your product or service library.

  • If you change an item on an order that's already been paid, the new total can create a balance due (higher total) or a credit on the customer's account (lower total).

  • Every name and price change is tracked. Run the Line Items Adjustments export in Cents Business Manager to see the change type and which employee made it.

Troubleshooting

  • The app asks for an employee code when you change the price?
Your login doesn't have the Edit line item price on POS permission. Ask a manager to enter their code, or have an admin add the permission to your role in Cents Business Manager.

  • The price change didn't save?
If the employee code entered doesn't have permission, the whole change is rejected. Try again with a code that has the permission.

  • Don't see the tag you need?
Tags are created in Cents Business Manager under Settings. Add it there and it'll show up in the app.

  • Want the new price on every order?
Editing here only affects this order. To change the price for everyone, update the service or product in Cents Business Manager.

  • The order is already completed or picked up?
Completed orders can't be adjusted. Issue a refund instead if the customer was overcharged.

  • Can't edit items on an order?
Canceled orders can't be changed. Check the order status first.
